How to Subscribe to Your BenchApp Team Calendar

BenchApp does publish a real subscribable calendar for your team — the option is called Subscribe to Calendar, and it sits on the Schedule page once you log in at benchapp.com. Most parents never see it because they only ever open the phone app.

Here's the path to the link, plus the two things BenchApp itself warns about: Google taking up to a day to show a new subscription, and a wrong team timezone putting every game at the wrong hour.

    Log in at benchapp.com. Use a browser and sign in with the account you already use for your team. This is the same login as the app, just on the web side.

    Open the Schedule page. The Schedule page is the list of your team's games and practices — the one you check to see who you're playing this week.

    Click Subscribe to Calendar. BenchApp puts a "Subscribe to Calendar" option on the Schedule page. That is the one you want — not a one-time download of a single game.

    Pick a calendar app, or copy the link. You'll be offered a choice of calendar apps, plus the option to copy the subscription link itself. Copying the link is the more flexible move: a link you hold can go anywhere later, including into a second calendar app or into Schedule Caddie.

    Paste it into Schedule Caddie. Paste the link and this team joins your merged family calendar, re-checked hourly, with an email when a game moves. Repeat for each team if more than one person in the house is on a BenchApp roster.

One team subscribed — or the whole family merged?

Paste the link into Google Calendar, Apple Calendar, or Outlook and it works — for one team it's genuinely enough. It gets thin when the house has two kids on three rosters: each one is a separate link and a separate subscription, nothing warns you when a game moves, and nothing notices that Saturday now has two 9am start times in two different towns.

If something's not working

I subscribed but nothing shows up in Google Calendar

Give it a day first. BenchApp's own help notes that Google Calendar can take up to 24 hours to sync a newly subscribed calendar, so an empty calendar on the first afternoon is usually just Google being Google. If it's still empty after that, BenchApp's suggested fix is to unsubscribe and resubscribe using a freshly copied link — the stale-link case looks identical to the slow case until you try it.

The games are all showing at the wrong time

Check the team's timezone in Team Settings. BenchApp warns that if the team timezone is set wrong, games display at the wrong times — and because every event shifts by the same amount, it reads like a calendar bug rather than a settings problem. Fix the timezone on the team, then re-check the calendar rather than re-doing the subscription.

A game changed in BenchApp but my calendar still shows the old time

If you subscribed in Google or Apple Calendar directly, they refresh subscribed feeds on their own cycle — roughly 12–24 hours, silently, with no button to hurry it along. The feed itself is current; the copy in your calendar app is not. Schedule Caddie checks the same link hourly and emails you what actually changed, old time and new.

Can I do this from the BenchApp phone app instead?

Get the link from benchapp.com in a browser. That's where the Subscribe to Calendar option lives, and it's a one-time trip — once the link is in Schedule Caddie or your calendar app, you never need to go back for it.

It only shows up on my phone, not my spouse's

Calendar subscriptions live on whatever device or account added them, so each person has to subscribe separately. The alternative is doing it once in Schedule Caddie and sharing one merged calendar link with the rest of the family — no second account needed on their end.

Is the BenchApp subscription live, or a one-time export?

It's a subscription: your calendar app re-reads the link on a schedule, so newly added games and changed times come through without you doing anything. The catch is that you're never told when something changes — the event just quietly moves.

How fast will a rescheduled game reach my phone?

That depends on what reads the link, not on BenchApp. Google and Apple refresh subscribed calendars roughly every 12–24 hours on their own timing. Schedule Caddie re-checks hourly and sends an email naming the game, the old time, and the new one.

Do I need a BenchApp login to keep the calendar working?

You need one to get the link in the first place, since Subscribe to Calendar sits behind the login on the Schedule page. After that, the subscription runs on its own.

What if my kids are on different apps — BenchApp for one, TeamSnap for another?
