Every other schedule in your family has a link behind it. The school calendar doesn't — districts publish a designed PDF for the year, sometimes a photo of one sent home in a backpack, and there is no "subscribe" button anywhere on it. So it lives on the fridge, and the early release day surprises you the night before.
The workaround most parents land on is typing the dates in by hand, which nobody actually finishes. This guide covers the other way: hand the PDF to Schedule Caddie, check the days it reads out of it, and have them show up on the same calendar as practices and games.
Budget about five minutes, most of it spent finding the PDF on your district's website.
Get the PDF off your school or district's website. Look for "Calendar," "Academic Calendar," or "District Calendar" — it's usually a single PDF covering the whole year. If the only copy you have is the one that came home in backpack mail, take a clear photo of it instead; a PNG or JPG works just as well.
Create a free Schedule Caddie account. Signing up takes a minute and doesn't cost anything. The account is where the school days get added, alongside whatever team schedules you've already brought in.
Upload it at schedulecaddie.com/school. Drop in the PDF, PNG, or JPG (up to 10MB). Schedule Caddie reads the document and pulls out the dated entries — no-school days, early releases with their dismissal times, vacations and breaks, teacher days, and the first and last day of school.
Review the days it found. Everything shows up as a checkable list before it goes anywhere: one row per day, with the date and label it read. Uncheck anything you don't want on your calendar and correct anything that came out wrong.
Confirm, and they land on your calendar. Only what you left checked gets added. School days appear next to practices and games, color-coded as their own School category so a no-school Monday reads differently from a 6pm game.
Nothing is added to your calendar until you confirm this list. Every day it found gets its own row, checked by default, with the date and label it read off the document — so a misread date takes a second to catch instead of showing up as a surprise in November.

No SchoolOptional, and only if you'd rather live in the calendar app you already use. Once the school days are in Schedule Caddie they behave like any other event, so a subscribe link carries them into Google Calendar, Apple Calendar, or Outlook:
Create a subscribe link in Schedule Caddie. Under Subscribe & Share, build a calendar feed covering the kids and event types you want to see. That gives you a feed URL — the same kind of link a team app hands you, except this one covers your whole family, school days included.
Add school calendar to Google Calendar (desktop or web). Go to Settings → Add calendar → From URL, paste the link, then click Add calendar.
Get the school calendar to iPhone (Apple Calendar). Go to Settings → Apps → Calendar → Calendar Accounts → Add Account → Other → Add Subscribed Calendar, and paste the same link. (On older iOS versions, Calendar appears directly in Settings.)
One thing to know about school district calendar sync: nothing about a PDF updates itself, here or anywhere else. When the school issues a revised calendar you re-upload it, and Schedule Caddie shows you what's different — added, changed, removed — before any of it touches your calendar. That's a deliberate difference from team feeds, which we do re-check for you every day.
My district posts the calendar as a web page, not a PDF
Print the page and choose "Save as PDF," or just screenshot the month grid and upload the image — PNG and JPG both work. Whatever gets the dates in front of it in a readable form is fine.
My photo of the calendar is over the 10MB limit
Most published calendar PDFs are well under a megabyte, but a full-resolution phone photo can go over. Use the PDF from the website if there is one, or re-take the photo at a lower resolution.
A few days came out wrong, or one is missing entirely
Fix them in the review step — that list is there precisely because a dense, tiny-print year calendar is a hard thing to read. Edit or uncheck any row before you confirm, and add any straggler by hand the way you'd add any other event.
There's usually no feed to add — schools publish a PDF, not an iCal link, which is why every "add calendar from URL" instruction dead-ends here. Import the school's PDF calendar into Schedule Caddie first, then create a subscribe link from Schedule Caddie and add that in Google Calendar under Settings → Add calendar → From URL.
Yes. Once the school days are on your Schedule Caddie calendar, create a subscribe link and add it on your phone under Settings → Apps → Calendar → Calendar Accounts → Add Account → Other → Add Subscribed Calendar. From then on the no-school days sit in the same iPhone calendar as everything else.
That's the whole reason this exists. Team schedules come in as feeds, the school calendar comes in as an upload, and they land on one calendar together — so the no-school Monday and the 4pm practice are visible in the same place instead of one being on the fridge.
Yes. When the calendar prints a dismissal time next to a half day, that time is kept on the event, so the day shows up as an early release rather than a generic note you still have to look up.
No, and it's worth being clear about that. A team feed is a live URL we re-check every day; a school PDF is a document, so there's nothing to re-check. When the school sends out a revised calendar — a snow day makeup, a moved conference day — you upload the new version and Schedule Caddie shows you exactly what changed against what you already have, marked as added, changed, or removed, before applying any of it.
Effectively, yes — that's the alternative, and it's why most families never get the school calendar onto their phone at all. The upload does the typing; you do the checking.
