Sports apps hand out calendar links. Dance studios hand out PDFs, app screenshots, and paper — and every dance parent has retyped a competition weekend into their phone at 11pm. There's a faster way: photograph or upload whatever the studio sent, review what the reader found, and the whole season lands on the family calendar next to everything else.
Gather whatever the studio actually sent. Dance rarely comes with a tidy calendar link. It comes as a PDF in an email, a schedule posted in the studio app, a paper handout in the dance bag, or a photo in the parents' group chat. All of those work — competition weekends, dress rehearsals, picture day, recital dates.
Upload it — a photo of paper counts. In Schedule Caddie (free), upload the PDF or a phone photo/screenshot of the schedule. The reader pulls out every dated entry: what it is, when it is, and the times when the document shows them.
Review before anything lands. You see every extracted event in a checklist first — uncheck anything, fix a title, then confirm. Nothing touches your calendar until you approve it.
It merges with everything else your family juggles. The dance schedule lands color-coded next to the soccer feed, the school calendar, and the carpool — one view, with conflict detection across all of it. A comp weekend colliding with a tournament shows up before it ruins a Saturday.
When the studio issues a new version, upload that. Uploaded schedules are snapshots — when the studio revises the comp schedule, upload the new version and you'll see exactly what changed (added, moved, removed) before approving the update.
My studio uses an app (Jackrabbit, DanceStudio-Pro, BAND…) — is there a link instead?
Sometimes! If the studio's app offers a calendar export or iCal/subscribe link, paste that into Schedule Caddie instead — links stay current automatically, no re-uploading. BAND groups have one (see our BAND guide). If there's no link, the upload path is the answer.
The schedule is a weekly class grid — "Mondays: Ballet 4:00, Tuesdays: Jazz 5:30"
Honest answer: recurring weekly grids without dates don't import yet — the reader needs dated entries. Dated schedules (competitions, rehearsals, events, "first week" schedules with real dates) work great today. Weekly-recurrence support is on our roadmap; for now, add weekly classes as calendar events by hand and let uploads carry everything dated.
The photo is blurry or the extraction missed a row
The review step is your safety net — you can edit or add rows before confirming. A flatter, brighter photo (or the original PDF instead of a photo of a screen) reads best.
