How to Put Gymnastics Schedules on Your Family Calendar

Gymnastics asks more of a family calendar than almost any other sport. Sixteen hours a week of practice that never moves, six meet weekends a year where the session times move constantly, and a parent portal that shows you everything and exports none of it.

Most gyms run their parent portal on Jackrabbit Class or iClassPro, and as of September 2026 we could not find a calendar-feed export for parents in either. So add the practice once in Schedule Caddie — Tuesday 4:30 to 7:00, say — and set it to repeat weekly until the end of the season. That is a minute of work that covers thirty weeks, and it means every other schedule you add gets checked against practice nights.

    For meets, upload the PDF the gym sends. Meet schedules almost always arrive as a PDF or an image in email: session times, warm-up, march-in, awards. Upload it and the reader pulls out every dated entry with the times the document shows. PDF, PNG, and JPG, up to 10MB — a screenshot of the email works too if that is all you have.

    Review every row before it saves. Meet documents list several sessions and often several levels, so what comes back is a checkable list — uncheck the sessions that are not your gymnast's, correct a warm-up time, fix a title. Only the rows you leave checked become events.

    The whole season lands on one calendar. Weekly practices, meet weekends, school, and your other kid's team feeds all sit color-coded on one view with conflicts flagged. When the meet director reissues session times, upload the new PDF and you see exactly what changed before approving it.

The meet schedule that moves after you book

The specific pain of competitive gymnastics is that a meet schedule is not final when you need it to be final. You book travel around a session time in the first version, and then a second version comes out with your level moved to a different day or a 7:00am warm-up, and it arrives as another PDF attachment in a long email thread.

Uploading each version is what turns that into something readable. Instead of opening two PDFs and comparing them by eye, you get told what is different — this session moved, this one was added, this one is gone — and you decide whether to accept it. Small thing, but it is the difference between catching a change on Tuesday and discovering it in a hotel lobby.

My gym's portal shows the schedule but there is no export

Jackrabbit Class and iClassPro are class-management systems built around registration, billing, and attendance — as of September 2026 we could not find a parent-facing calendar feed in either. The practice schedule is a weekly grid with no dates on it

Grids like "Level 4: Mon/Wed 4:30, Level 5: Tue/Thu 5:00" have no dates, so the upload reader has nothing to extract — it needs dated entries. This is the case the repeat-weekly option is for: add the practice once by hand, set it to repeat weekly, and you are done in under a minute per class.

Practice moves during meet weeks and over holidays

It always does. Edit or remove the individual weeks that change rather than rebuilding the whole pattern — the point of the repeating events is that the ordinary weeks take care of themselves so you only have to think about the exceptions.

Frequently asked questions

Can I subscribe to my gym's calendar instead of uploading?

Only if your gym publishes a feed somewhere, and most do not. As of September 2026 we could not find a parent calendar-feed export in Jackrabbit Class or iClassPro, the two systems behind most gym parent portals. Some gyms also run a Facebook group or a team app alongside the portal — if yours uses something with a calendar link, paste that in, because a link always beats an upload.

No, and we would rather be plain about it than imply otherwise. You set the repeat yourself: create the event, choose weekly, pick when it ends. It takes a minute and it is explicit, which is what you want for something that anchors your whole week.

Will I get an email if a meet session time changes?

Not from an uploaded PDF, because an upload is a snapshot and cannot know the meet director revised it. Change emails come from schedules added as a live link — those get re-checked automatically and the email names what moved. For gymnastics, where the source usually has no feed, what you get instead is the comparison when you upload the revised document.

Can grandparents see the meet schedule without an app?

Yes. Any schedule can become a share page — one link, opens in any browser, subscribable on their own phone, no app and no account needed. They see that schedule and nothing else from your account, which is the right amount for family driving in to watch a Saturday session.

What about my other kids — soccer, school, everything else?

That is the reason to put gymnastics here rather than in a standalone calendar.
