Summer swim runs on a printed heat sheet and a group text, and the meet schedule seems to live everywhere except your phone. It doesn't have to: every SwimTopia team site publishes a live calendar you can subscribe to once, and family who aren't on the team can subscribe to it too.
The catch is where you look. The subscribe option is on the team website, not in the SwimTopia app — here's the exact address, plus the honest fine print about how calendar apps refresh it.
Go to your team website, not the SwimTopia app. This is the step that trips everyone up: you cannot subscribe to the calendar from inside the SwimTopia mobile app. The subscribe option lives on the team's website — the one with your team name in the address, like yourteam.swimtopia.com. Open that in a browser, on your phone or a computer.
Open the calendar subscribe page. Every SwimTopia team site offers a subscribe page at the same address: yourteam.swimtopia.com/calendar_events/subscribe. Swap in your own team name and go straight there — it saves hunting through menus. (If your team site links it from the calendar page instead, that lands in the same place.)
Copy the calendar link rather than auto-adding it. The page will offer to hand the schedule to a calendar app for you. Copying the actual link is more useful, because you can paste it anywhere — Google Calendar, Apple Calendar, Outlook, or a family calendar that merges it with your other kid's teams.
Hand the same link to grandparents and the other parent. SwimTopia lets family and friends who are not on the team subscribe to the calendar too. That means the grandparent who drives to Saturday meets can have the schedule on their own phone without a team login, an app, or a password — you just send them the link.
Paste it into Schedule Caddie. Paste the link and the swim season joins your merged family calendar — re-checked hourly, with an email when a meet time moves or a practice gets cancelled. Add your other kids’ teams from other apps and everything lands on one color-coded calendar.
Paste the link into Google Calendar, Apple Calendar, or Outlook and it works — and for one swimmer on one summer-league team, that's plenty. It gets thin when the older one has travel soccer in the same weeks: swim meets and soccer games sit in separate calendars, nothing warns you that Saturday has both, and the grandparents get a different link for every team.
The subscribe page won't load, or says the calendar isn't available
Teams can set their schedule page to private. When they do, the subscribe link stops working for everyone, because a calendar app has no way to log in on your behalf. Ask your team admin or swim rep whether the schedule page can be made public — it is a setting on their side, not something you can change.
I've looked everywhere in the app and there's no subscribe button
There isn't one. Subscribing is a website feature in SwimTopia, not an app feature. Open your team's site in a browser and go to /calendar_events/subscribe. Once you have the link copied you can paste it anywhere, including back on your phone.
A meet time changed but my calendar still shows the old one
If you subscribed directly in Google or Apple Calendar, they refresh subscribed calendars on their own quiet schedule — roughly every 12 to 24 hours. The SwimTopia feed itself updates promptly; it's your calendar app's cached copy that lags. Schedule Caddie checks the feed hourly and emails you exactly what changed.
The calendar went quiet after the season ended
That's normal for summer league. SwimTopia teams skew toward short seasons — often roughly March through July — so the feed empties out once the last meet is swum and fills back up when next season's schedule is published. Leave the subscription in place over the winter and it repopulates on its own.
No. Subscribing has to happen from the team website — yourteam.swimtopia.com/calendar_events/subscribe. The app is for checking the schedule and entries; the website is where the live calendar link is handed out.
Yes. SwimTopia allows family and friends who are not team members to subscribe to the team calendar. Send them the same link. If you'd rather give one relative every kid's schedule instead of one team's, Schedule Caddie's share pages do that with a single link and no account on their end.
It will be your team's own SwimTopia address with /calendar_events/subscribe on the end. That's a live feed, not a one-time download: new meets and changes flow through it automatically for as long as you stay subscribed.
Two. Each team site publishes its own calendar, so grab the subscribe link from each. Pasted into Schedule Caddie they merge into one calendar, color-coded per swimmer, with conflicts flagged when two meets collide.
