How to Get an AES Volleyball Schedule on Your Calendar

Club volleyball has a particular rhythm to it. The tournament is on the calendar for months, the actual schedule posts on Wednesday, your pool time is 8:00am Saturday in a convention center two hours away, and by Friday night the waves have shifted and you are refreshing a web page in bed.

The first thing to say plainly: as of September 2026 we could not find a parent calendar feed in AES or SportWrench, the two systems that run most club tournaments. So this guide is not a link hunt. It is the workaround that actually holds up — capture the sheet when it posts, upload it, and let the weekend sit on the same family calendar as everything else.

From the pool sheet to the family calendar

    Know which system your tournament runs on. Club volleyball scheduling lives almost entirely in two places: Advanced Event Systems (AES) and SportWrench. Whichever one your tournament uses, the schedule is published on the web for you to read — as of September 2026 we could not find a parent-facing calendar subscription on either. So the honest first move is not hunting for a link that may not exist; it is capturing the schedule the moment it posts.

    Capture the schedule when it goes live. Pool assignments and wave times usually post a few days before the event, sometimes closer. When yours appears, screenshot it on your phone or save the page as a PDF on a computer. Get your team code, the court, the start time, and the date in the shot — those are the four things that have to survive.

    Upload it to Schedule Caddie (free). Sign up, then upload the screenshot or PDF. The reader goes through it and pulls out every dated entry it can find, with times where the sheet shows them. PDF, PNG, and JPG all work, up to 10MB.

Pool sheets are dense grids, so this step matters: uncheck rows that belong to other teams, fix a court number, correct a start time. Only what you leave checked is saved.

The tournament weekend lands color-coded next to your club's practice schedule, your other kid's soccer feed, and the school calendar, with conflicts flagged across all of it. When the host posts a revised sheet, upload the new version and you will see exactly what moved before you approve it.

Why club volleyball is harder than it looks

A soccer season is twelve Saturdays you can plan around in August. A club volleyball season is a Nov-to-May run of tournament weekends where the dates are known early and the details arrive late — pool at 8:00 or a bye until 1:00, court 14 or court 3, one day or two. Families book hotels against dates and then live with times they cannot see yet.

Which means the right habit is two-pass. Block the weekend as soon as the club announces the tournament, so nobody schedules a birthday party into it. Then upload the real schedule the week of, and upload it again if the host revises. The calendar catches up with reality instead of waiting for it.

If something is not working

The schedule is not posted yet and the tournament is Saturday

Normal for club volleyball. Put the tournament dates on the calendar now as day-long blocks so nobody books over the weekend, then upload the real pool sheet when it appears and let it fill in the wave times. Holding the weekend is most of the value; the 8:00-versus-1:00 question can wait a few days.

The wave times shifted after I already imported

Re-upload the revised sheet. You get a comparison against what you already have — added, moved, removed — before anything changes, so you can see at a glance that your 8am pool became a 1pm pool rather than re-reading the whole grid.

The bracket is a wide grid and the screenshot came out unreadable

Wide brackets do not survive being squeezed onto a phone screen. Open the schedule on a computer and save or print it as a PDF instead, or screenshot it in two overlapping halves and upload them one at a time. A real PDF always reads better than a photo of a screen.

My club posts practices somewhere else entirely

Most clubs run practices and team communication through a team app — SportsEngine, TeamSnap, and Sports Connect are common. Those do publish calendar links, and pasting one in means practices stay current automatically. Use the link for practices, uploads for tournaments, and both land on the same calendar.

Frequently asked questions

Does AES have a calendar feed I can subscribe to?

As of September 2026 we could not find a parent-facing iCal or subscribe option in Advanced Event Systems. Schedules are published to be read on the web. It is telling that third-party apps exist for no reason other than making AES schedules easier to read on a phone — the gap is real and parents have been working around it for years.

What about SportWrench — same answer?

Same as far as we could find. SportWrench publishes tournament schedules and results on the web, and we could not find a parent calendar subscription as of September 2026. If your event host offers one and we have this wrong, tell us and we will update this page.

Will Schedule Caddie email me when a wave time changes?

Be clear on the difference. Schedules that come from a live link are re-checked automatically and you get an email naming what changed. An uploaded screenshot is a snapshot of one moment — it cannot know the host revised it. What you get instead is the comparison: upload the revised sheet and see precisely what is different before approving. For club volleyball that is usually the realistic answer, because the source has no feed to watch.

Can the other parent and the grandparents see the weekend?

Yes. Any schedule can become a share page — a link anyone opens in a browser or subscribes to on their own phone, no app and no account needed. They see that one schedule, nothing else from your account. Useful when two adults are splitting a three-day tournament between them.

How current is this guide?

Researched September 2026. Club volleyball runs roughly November through May and tournament platforms change their parent-facing tools between seasons. If AES or SportWrench adds a calendar subscription, or a step here does not match what you see, tell us — we keep these guides honest rather than evergreen-looking.
